Time with friends should be relaxing and invigorating. It shouldn’t be stressful, but planning 

 a summer vacation (or a vacation at any time) with a group can get frustrating. Everyone has an opinion or thought on how the trip should go, and often, not everyone wants to give up their vision of what the trip should look like. Here are a few ways to beat the stress in advance.

1. Invest in Travel Insurance

Travel insurance is the ultimate safety umbrella. Whether you want to protect your financial investment in tickets and reservations or safeguard your health and possessions, there are options suited to your plans. Insurance cuts stress by providing a safety net if something unpredictable happens, so you have less reason to worry as you enjoy time with friends.

2. Use Communal Planning Tools

Group chats are chaotic. Lean into the remote work skill set to keep logistics clear as you plan and prep. Tools like Slack, Google Docs, and even Discord can help keep itineraries, budgets, and notes of concern clear and accessible to all.

3. Set Shared Expenses in Advance

Discuss who is responsible for what expenses before any other part of vacation planning. Even the closest friends have different incomes, expenses, and savings. If everyone wants to share costs like hotel rooms or cruise cabins equally, work with the smallest budget. Discuss things like airfare, gas, event tickets, and food, too. Expenses don’t have to be shared equally, but everyone needs to know their responsibilities in advance. Whatever your arrangements, be clear and keep a record so everyone knows how much to budget.

4. Share and Keep Emergency Info

Keep a shared digital and print document with everyone’s emergency contact info, insurance numbers, passport details, medical conditions, prescriptions, and allergies. Taking a photocopy of everyone’s ID provides extra security. This simple step can greatly reduce stress and help keep everyone safe and healthy.

5. Take Turns Planning Excursions

Give everyone a chance to prioritize the attractions and activities they enjoy most. These days don’t have to be randomly doled out and could revolve around when specific opportunities are available. If you’re only in one town for a couple of days, friends most interested in the things to do there should take the lead. Remember, splitting into smaller groups and reuniting in the evening works, too.

6. Make Space for Alone Time

Even close friends need time and space to recover from a big night out or a long day of adventure. If your friends are parents enjoying time away from the kids, they may be even more interested in dedicated time to lounge by the pool or treat themselves at the spa. Introverts may need a breather from the group, too.

7. Agree on Backup Plans

If the museum you want to visit is closed, the weather ends your time on the beach early, or the restaurant you read about is undergoing renovations, have backup plans ready. What indoor and outdoor activities does your group enjoy together? Backup plans could be as simple as keeping playing cards on hand or as nuanced as a list of secondary cultural sites to visit.

When planning a trip with friends, it’s important to make solid plans but also have some flexibility, and remember that communication is key.
