What are ChatGPT prompts?

A ChatGPT prompt is the input you give ChatGPT to communicate what you want it to do. It can include a question, instruction, or goal, along with text, files, images, data, source material, or examples of the result you want.

A prompt can be as simple as:

Summarize this client’s Q3 performance.

Or it can be more detailed:

Summarize this client’s Q3 performance for their executive team. Compare the results against these Q3 targets: [paste targets]. Use their organic traffic, lead volume, and conversion rate data: [paste data]. Match the structure and length of last quarter’s approved report: [paste example].

The second prompt supplies details specific to this task: the audience, performance targets, source data, and an approved reference format.

Think of ChatGPT as a new coworker who has broad, industry-level knowledge but lacks the context specific to your company. The context and materials you provide shape that knowledge into a response you can use.

Decision-making and reflection

For each, label it as supported by my information, a reasonable interpretation of that information, or unresolved. Follow up with questions if you need clarity on any missing context.

End with the smallest practical step that would test the decision, reduce uncertainty, or preserve flexibility.

How to write better ChatGPT prompts using the PROMPT framework

A ChatGPT prompt generator can produce a serviceable starting template, but it can’t supply your audience, data, or constraints. The PROMPT framework covers what generators leave out.

OpenAI’s prompt engineering guidance recommends the same fundamentals: describe the task clearly, provide the context ChatGPT needs, define the format, set the constraints, and refine the response as you go.

PROMPT is a six-part process for building stronger prompts and refining the response. Simple requests work with a few components, while more complex tasks may benefit from all six:

  • Purpose (P): the result you want
  • Relevant context (R): the background ChatGPT needs
  • Output (O): the format the response should take
  • Must-haves (M): the rules the response must follow
  • Proof and examples (P): the source material to work from
  • Tune (T): the follow-ups that refine the response

P: Purpose

Start by telling ChatGPT what to do and what you want it to produce.

Use a clear action verb, such as:

  • Analyze
  • Compare
  • Draft
  • Plan
  • Recommend
  • Summarize

Then name the intended result.

A prompt like “Help me onboard a new marketing manager” may draw a response of general advice or a follow-up question.

A clearer purpose is:

Draft a 30-60-90 day onboarding plan for a new marketing manager joining my team.

This defines both the action (draft) and the result (a 30-60-90 day onboarding plan).

For tasks involving a decision, include that outcome too:

Compare these three project management tools and recommend the best option for a five-person marketing team.

When the target is vague, ChatGPT has to infer the task, which makes the response generic or off-target.

R: Relevant context

Relevant context helps ChatGPT tailor its response to you and your situation.

Depending on the task, this may include:

  • Who the response is for
  • The company, industry, or market
  • The problem you are trying to solve
  • The intended use of the response
  • The reader’s existing knowledge
  • The stakes or circumstances surrounding the task

For the onboarding-plan example, you could add:

This is for a B2B SaaS company. The new hire will lead demand generation and manage two junior team members. Our current focus is expanding into mid-market segments.

The details that make a task specific come from you: your team structure, company priorities, and the problem you are solving. Once you provide those details, ChatGPT can shape the response around them.

Relevant context describes the situation ChatGPT is working in. Include details that materially affect the response. A longer backstory doesn’t automatically produce a better result. 

O: Output

Specify how you want ChatGPT to organize and present its answer.

This may include:

  • Format, such as a table, checklist, email, or report
  • Required sections or headings
  • Number of options
  • Length
  • Level of detail

For example:

Structure the plan by phase: days 0–30, 31–60, and 61–90. For each phase, list learning goals, active projects, and success metrics. Keep the complete plan under 800 words.

Choose the format based on what your reader will do with the response. If they’ll skim it in a meeting, use a table. If they’ll copy it into an email, use prose. If they’ll present it to others, use a structured outline with headers.

M: Must-haves

Must-haves tell ChatGPT which standards, rules, and boundaries the response needs to follow. 

These may include:

  • Points that must be covered
  • Information that should be excluded
  • Decision criteria
  • Tone and style requirements
  • Facts or assumptions that should be flagged
  • Steps ChatGPT should complete before answering

For example:

Include a check-in with the hiring manager at the end of the first 30 days. Prioritize knowledge-building in phase one, contribution in phase two, and ownership in phase three. Cover only marketing-specific responsibilities; exclude general HR onboarding items.

You could also ask ChatGPT to handle missing information explicitly:

Base your response only on the materials provided. Flag any missing information that would change your recommendations.

Or ask it to clarify the task before beginning:

Before drafting the plan, ask me up to three questions about the role or company that will help you build the plan.

These requirements often come from internal knowledge ChatGPT does not have, such as team norms, brand rules, and past decisions.

Pair an exclusion with a positive instruction. “Focus on marketing-specific responsibilities; exclude general HR onboarding tasks” gives ChatGPT both a target and a boundary.

P: Proof and examples

Proof and examples ground the response in your actual information.

You can provide:

  • Analytics and performance data
  • Research or reports
  • Job descriptions
  • Customer interviews
  • Meeting transcripts
  • Product documentation
  • Brand guidelines
  • Previous approved work
  • Examples of the style or structure you want

For the onboarding plan, you might add:

Base the role responsibilities on the job description below: [paste job description] Match the structure of our approved onboarding plan for a sales manager: [paste previous plan] 

Use only these materials as your source, and flag any role-specific information you need that these do not contain.

The job description supplies the factual basis for the role, while the previous plan models the expected structure and quality.

Supplying source material keeps the response grounded in facts you provide, so ChatGPT builds on your evidence instead of drawing on general assumptions. Review important claims, calculations, and recommendations before using them.

T: Tune the response

Tuning means refining ChatGPT’s first response with specific feedback about what to keep, change, add, or remove. This happens over a conversation, and is not necessarily a one-time command. 

Treat the first response as a draft. Review it for:

  • Missing information
  • Unsupported assumptions
  • Generic recommendations
  • The wrong level of detail
  • Weak organization
  • Wrong tone or format for the task

Then tell ChatGPT precisely what to keep and what to change.

For example:

Phase two feels too ambitious. Limit it to two active projects and allow more time for building relationships with the team. Keep the phase-one goals unchanged.

Other useful follow-ups, depending on what the first response needs:

Identify the weakest part of this response and explain how you would improve it.

Keep the recommendations, but make the reasoning more specific to a B2B SaaS company.

Cite the relevant source for each factual claim drawn from my materials. Flag claims where the supporting source is missing. 

Give me a second approach that uses a different underlying strategy.

Rewrite the response using this feedback: [add feedback]

Tuning builds on what the first response gets right. It lets you revise the weak parts without rebuilding the entire response.

PROMPT framework examples

Compare two B2B software tools

Purpose:

Compare [tool A] and [tool B] for [software category] and recommend the better option for [decision-maker roles] in [industry]. 

Relevant context:

The team wants to solve [specific problems] and will use the software for [primary use case]. Relevant requirements include [team size, budget, existing tools, security needs, integrations, or industry-specific constraints].

Output: 

Present the comparison in a table covering: 

  • Must-have and nice-to-have features
  • How well each tool addresses the stated pain points
  • Technical requirements and integrations
  • Implementation effort and time to value
  • Pricing and total cost considerations
  • Key limitations and trade-offs

Must-haves:

Follow the table with a recommendation of no more than 250 words. Base it on the needs of the target audience rather than the number of features each tool offers. Flag any missing information that could change the recommendation.

Tune:

Give integration compatibility and implementation effort more weight than feature breadth. Update the comparison and explain whether that changes the recommendation.

Purpose:

Analyze the customer reviews, post-purchase survey responses, and return reasons below to identify the main customer segments represented in the data for [product].

Relevant context:

Output:
